Director Operations
Position Summary:
The Director Operations is responsible for the coordination, organization, planning, and implementation of policies and procedures relating to business and the fiscal aspects for several departments including but not limited to Out-Patient Clinic, Information Desk, Food Service, Environmental Services, Mailroom, Volunteer Services and Gift Shop.
Essential Functions and Responsibilities:
1) Oversees department operations and program development.
2) Prepares annual budget for all operating expenditures and meets or exceeds budgeted/financial and volume targets.
3) Review office revenue reports monthly for appropriate patient charges. Maintain charge master.
4) Develops and implements strategic planning and development of goals and objectives for the assigned departments consistent with the facility strategic plan.
5) As a member of hospital administrative management group, regularly participates in development of hospital-wide plans, goals, and objectives.
6) Directs departmental performance improvement activities within functional area. Plans and develops programs designed to ensure quality improvement opportunities, goal setting, collection and evaluation of data, and implementation of any action plans.
7) Provides service excellence standards:
a. Responds promptly, professionally and courteously to all customers’ needs.
b. Cooperates and communicates effectively with all McLaren Oakland team members.
c. Contributes to continuous quality improvement efforts.
8) Conducts annual staff performance evaluations in a timely and meaningful manner.
9) Review, monitor and control expenses.
10) Develops measurable strategic business, sales and marketing plans for all reporting departments/clinics and reports progress to the CEO.
11) Maintains necessary staffing levels in order to deliver quality patient care.
12) Ensures employees are oriented and trained to meet the mission, vision and objectives of McLaren Oakland.
13) Ensures employees are effectively trained in customer service skills including phone techniques and face-to-face interactions.
14) Utilizes the Performance Management Planning employee evaluation process as a communication and development tool for employees.
15) Ensures procedure manuals are maintained and updated as needed.
16) Conducts routine customer service surveys in order to provide feedback to ascertain opportunities for improvement.
17) Ensures payroll for reporting departments is completed and forwarded to payroll.
18) Complies with state and federal regulatory agencies requirements.
Qualifications:
Required:
- Bachelor’s degree or 7 years progressive management experience in Healthcare
Knowledge, Skills, and Abilities:
- Excellent oral and written communication skills required with the ability to interact professionally and lead staff to attain clinic objectives
- Experience with problem solving, and financial analysis
- Ability to organize, prioritize and delegate effectively
- Knowledge of state and federal laws that govern the operation of clinics
- Ability to use Excel spreadsheets and other Microsoft Office software programs
