Coordinator Project Supply Chain Management System
Position Summary:
Provides support to the Supply Chain Management team by managing, updating, and maintaining the accuracy of the contract management database and other various systems. Maintains the integrity of the item master and contract loading process by ensuring all submissions meet the department standards. Works system errors to keep all Supply Chain systems in operation. Monitors pricing accuracy while resolving any discrepancies that occur throughout the contract life cycle.
Essential Functions and Responsibilities as Assigned:
1. Oversee contract information, storage, and maintenance for all Supply Chain contracts. Uploads supporting documents and loads associated pricing into designated electronic storage location focusing on data integrity and accuracy.
2. Fixes system errors in real time to prevent negative impact to supply chain operations.
3. Monitors contract database for expiring contracts and pricing gaps. Proactively escalates potential pricing issues to leadership with a focus on avoidance of re-work.
4. Investigates pricing discrepancies identified by the order processing team and makes corrections using information from contracts and sourcing coordinators.
5. Examines and approves invoice discrepancies under their jurisdiction. Reports on discrepancies to Accounts Payable explaining reasons for and solutions to problems resolved.
6. Collaborates between financial teams, business stakeholders, and vendors to reconcile purchase orders and resolve invoice discrepancies. Obtains vendor credits and provides Accounts Payable as necessary.
7. Assist in reviewing and auditing data elements in various Supply Chain systems. Coordinates and implements data cleanup efforts when applicable.
Qualifications:
Required:
· High School Diploma
· 7 years of experience in Supply Chain, Health Care, Information Systems, Data Management, or Business-related field.
OR
· Associate’s degree in Health Care, Business, Information Systems, Data Management or related field
· 5 years of experience in Supply Chain, Health Care, Information Systems, Data Management, or Business-related field.
OR
· Bachelor’s degree in Health Care Administration, Supply Chain Management, Business, Information Systems, Data Management, or related field
· 2 years of experience in Supply Chain, Health Care, Information Systems, Data Management, or Business-related field
Preferred:
· 2 years experience with ERP or Inventory Management systems, PeopleSoft preferred
· 5 years’ experience working with vendors on resolving discrepancies
