Position Summary: Responsible for producing Philanthropy events from conception through to completion under the direction of the Philanthropy leader and/or Special Events Manager to meet strategic and fundraising goals of the department.  

Essential Functions and Responsibilities as Assigned:

1.      Plans, designs and produces both fundraising and non-fundraising events. Liaises with clients to identify their needs and to ensure customer satisfaction. Provides feedback and periodic reports to key stakeholders.

2.      Develops a network of event subcontractors that make planning each event a seamless process and that work within established event budgets.

3.      Manages all aspects of the event planning process, including collaboration with subcontractors, venue identification, menu development, printing and design of materials, registration process, ticket sales, budget tracking, volunteers and revenue generating activities, if applicable.

4.      Conducts market research, gathers information and negotiates contracts prior to closing any deals and is responsible for ensuring timely payment of any event-related invoices.

5.      Develops and proposes ideas to improve provided services, event quality, sponsorships and revenue. Works with event committee for input and decision making.

6.      Organizes facilities and manages each event’s details such as decor, catering, entertainment, transportation, location, invitee list, special guests and leadership, equipment needs, promotional material, sponsorship fulfillment, etc.

7.      Works to enhance events through creative alternate revenue generating activities and other promotional ideas to increase interest and attendance.

8.      Ensures compliance with insurance, legal, health and safety obligations.

9.      Specifies staff requirements and coordinates their activities.

10.  Cooperates with marketing and PR to promote and publicize events.

11.  Researches market trends, identifies event opportunities and generates interest to internal and external constituents.

12.  Takes the lead on working with Philanthropy staff to create continuity scripts and other program remarks.

13.  Proactively handles any issues and troubleshoots emerging problems on the event day. Produces event workplan and event timeline to ensure seamless event program.

14.  Conducts pre- and post – event acknowledgements, evaluations and reports on outcomes.

  1. Maintains professional and technical knowledge by attending educational workshops; reviews professional publications; establishes personal networks; participates in professional societies.

16.  Performs other related duties as required and directed.

Qualifications:

Required:

  • Associate’s Degree in Marketing, Communications, Business Administration or related area or high school diploma and minimum 3 years experience in a fundraising setting which includes soliciting donors, businesses and foundations in a revenue generating capacity.

·         Minimum one year of experience as an event planner or organizer.

Preferred: 

  • Bachelors degree in Marketing, Communications, Business Administration or related area
  • Minimum 2 years experience in a non-profit or healthcare fundraising environment planning and executing large scale fundraisers and other events
  • Experience working with volunteer committees.
  • Experience with Raisers Edge or other donor software
