Executive Assistant Senior
Position Summary:
Acts as liaison to the Board(s) of Directors, and performs those tasks necessary to support the Board, which includes scheduling and notifying Board members of meetings preparing agendas and recording minutes maintain proper information flow, storage, and retrieval for Board members reviewing Bylaws for appropriateness preparing annual Board reports and performing other duties as required by the Chairperson of the Board and/or the President /CEO. Maintains confidential corporate contract files for all department. Maintains hospital-wide policies and procedures and serves as resource person for recording policies and procedures on the Intranet. Coordinates special functions, such as board social events, physician recruitment candidate visits, etc.,
Essential Functions and Responsibilities:
· Administers, directs, and coordinates all activities of the Corporation, which includes inpatient and outpatient services, to carry out its which is predominantly intellectual and varied in nature.
· Assumes duties and responsibilities as recording Secretary to the Boards(s) of Directions, and performs those tasks necessary to support the Boards(s) of Directors, which includes, but is not limited to:
o Acts as liaison for the Board(s) of Directors in select instances.
o Coordinates edits or changes to the Bylaws of McLaren-Bay Region as directed by the Board Chairman or CEO.
o Prepares meeting schedules and notifies Board(s) of monthly and special meetings.
o Prepares agendas and records minutes of the meetings of the Board(s) of Directors and committee meetings
o Maintains proper information flow, storage, and retrieval for the Board(s) of Directors.
o Composes and edits letters for the Chairman of the Board and committee chairpersons.
o Prepares reports in relation to “Conflict of Interest”, Board education, Board attendance, Board self-assessment survey, and other reports as requested by the Chairman of the Board or President/CEO.
o Performs other duties as required by the Chairman of the Board or President/CEO
· Also serves as executive support for other executives.
· Assists in assuring compliance with all regulatory and other agency requirements/laws, and statutes pertaining to the operations.
· Coordinates flow of information between the President/CEO and her/his staff.
Qualifications:
Required:
· High School Diploma or equivalent with additional college courses in business.
· Minimum of five years previous experience in an administrative assistant role(s), with health care experience preferred.
