The Academic Program Administrator II partners with department leaders to provide oversight and manage academic programs.  Applies standards of accreditation agencies and/or medical schools integrating into work.  Academic functions include recruitment, orientation, establishing and maintaining academic files, rotation scheduling, evaluations, duty hours, scheduling lectures, graduation, proctoring national exams and inspections.  Work requires use of multiple electronic systems.  Works with indirect supervision, a propensity for initiative utilizing independent judgement. 

 

 

Essential Functions and Responsibilities:

  1. Undertakes academic oversight of programs, such as, assisting with program development, tracking, implementation, evaluation, and providing and maintaining medical student/residents services for Medical Education, including orientation, graduation, housing assignments, lockers, pagers, meal cards, evaluations, schedules, in-service examinations, training verifications and applications.

  2. Serves as an expert in accreditation and related governmental requirements. 

  1. Works with Graduate Medical Education (GME) team to develop and implement standardized work.  Evaluates standardize work procedures and effectively troubleshoots and resolves issues with the team.
  1. Maintains thorough knowledge in academic programs by reading pertinent literature, attending meetings and participation in professional associations as appropriate. 

  2. Serves as liaison to educational consortia affiliated with the training program.

  1. Directs collection of data for submission to accrediting bodies and other regulatory agencies, including all accreditation visits and inspections. 
  2. Negotiates with other institutions to secure required educational experiences for resident.
  3. Independently integrates information, composes materials, and scripts a variety of written communications for use by the department leaders (e.g. correspondence, manuals, policies and procedures, web site, etc.).
  4. Oversees resident recruitment and new hire process for trainees.
  5. Executes onboarding and orientation of new residents in partnership with Medical Education and Human Resources.
  6. Manages program budget in partnership with department leaders. Performs this responsibility from a long-range planning perspective and based on knowledge of departmental organizational objectives and strategic goals.
  7. Participates in quality improvement initiatives by utilizing appropriate theories.  
  8. Independently researches information affecting program/departmental goals and objectives. Provides preliminary analysis, summaries, and recommendations to support decision-making.

Required Qualifications:

·       High school diploma with two years medical education experience and Certified by the Training Administrators of Graduate Medical Education (TAGME).
OR

·       Associate degree in health care administration, business or related field and Certified by the Training Administrators of Graduate Medical Education (TAGME).

OR

Bachelor’s degree in health care administration, business, or related field and become certified by TAGME within two years
